COFFEE, WATER & VENDING

Route software for the delivery and the machine, on one visit.

Half the stop is a restock and half of it is a repair. OrderPulse raises the recurring delivery on its own cycle, tops each site back up to its par, and keeps the engineer’s work order against the same site — so one visit closes both halves.

The problems office coffee, water and vending route actually has

  • Recurring deliveries that depend on somebody remembering the fortnight
  • Refill quantities guessed at the door instead of read from what the site actually uses
  • A breakdown call that goes to whoever answers the phone, not whoever is near and qualified
  • No single record of what has happened at a site, so every visit starts from scratch
  • Jobs finished weeks ago that nobody got round to invoicing

Coffee, water & vending route software built for how your routes run

Standing orders raise themselves

A recurring delivery generates on its cycle and appears on the route without anyone remembering to raise it.

Refills suggested to par

Each site has its par, and the suggested quantity tops it back up — so a rep restocks to a number rather than to a guess, and can still adjust at the door.

Dispatch by dragging

Technicians are rows and days are columns. Drag a breakdown onto an engineer and it is booked; skills and their patch feed the suggestion.

Priced from a rate book

Every work order line records which book set its rate, and an override keeps the book’s figure beside it with the reason.

A record per site, not per van

Each site is a service location on the customer, so every delivery and every call made there sits on one record.

Same-day books

Delivery invoices and service charges post to QuickBooks or NetSuite the day they are signed.

Coffee, water & vending route software: frequently asked questions

Can deliveries repeat automatically?

Yes. A standing order at a site generates each delivery on its cycle and places it on the route, and the suggested quantity tops the site back up to its par. The rep can still change what goes in at the door.

Can one visit cover both the delivery and the repair?

Yes. The restock is an order and the fault is a work order, both against the same customer site, and a technician’s day of calls can be sent to a route like any delivery run.

How do you assign a breakdown to an engineer?

On the dispatch board. Technicians are rows, days are columns, and the open call is dragged onto the right person. It warns when they are not qualified for the job, but it does not refuse — the dispatcher usually knows something the data does not.
