How a desktop company file is reached at all

QuickBooks Desktop has no public API of its own. This is the part every other answer glosses over.

New customers push up A rep opening an account in the field pushes it to QuickBooks, which assigns its identity.
Edits flow down QuickBooks stays the book of record, so edits there win and are refreshed here.

Frequently asked questions

Do we have to open a port in our firewall?
No. The connector agent runs on the machine that holds the company file and makes outbound calls only. Nothing inbound is opened and the file is never reachable from the internet.
Does the QuickBooks machine have to stay on?
Yes — the agent needs the company file to be reachable, which means the machine hosting it is running and the agent is installed. That is the trade for using a desktop product that has no cloud API of its own.
Which editions are supported?
QuickBooks Pro, Premier and Enterprise — the desktop editions. If you are on QuickBooks Online, the cloud integration connects directly and needs no agent.
What happens if a rep edits a customer QuickBooks owns?
The edit is overwritten at the next refresh, and that is deliberate. QuickBooks stays the book of record for existing customers so two systems cannot disagree about an account. A customer a rep creates in the field is the exception: it pushes up, and QuickBooks assigns its identity from there.
Does it sync our price levels?
Yes. QuickBooks Desktop price levels are imported and enforced on every document a rep raises, so the price quoted at the shelf is the price your accounts expect. QuickBooks Online does not expose price levels through its API at all.
Can it handle sales orders?
Yes, two-way. This is one of the real differences from QuickBooks Online, which has no Sales Order object, so orders there have to become an estimate or an invoice instead.
